How can virtual IBANs help with reconciliation?

Virtual IBANs can help a business reconcile incoming payments by assigning a distinct identifier to an approved acquirer, customer, store, website, entity, project or payment flow. When a payment arrives, the identifier can help the business associate it with the correct source. This can reduce manual matching, but it does not replace accounting controls, contracts or transaction evidence.

A simple reconciliation example

A merchant receives settlements from three acquiring providers. Instead of all payouts arriving under one undifferentiated identifier, each approved acquirer can use a different virtual IBAN.

  • Acquirer A → vIBAN A → Store / settlement ledger A
  • Acquirer B → vIBAN B → Store / settlement ledger B
  • Marketplace C → vIBAN C → Marketplace ledger

The incoming identifier helps the finance team determine which provider or flow the payment belongs to.

What information should be recorded?

A controlled mapping should include:

  • expected reference format;
  • related contract or acquiring agreement.

What virtual IBANs do not solve

They do not automatically verify that the amount is correct, explain deductions, resolve chargebacks, create invoices or determine accounting treatment. The finance team should still reconcile the net settlement against processing statements, refunds, fees, reserves and other adjustments.

How should changes be managed?

Do not reassign an identifier informally. When a flow ends or changes, update the internal mapping, notify relevant counterparties, preserve historical records and follow the provider’s deactivation instructions.

Can one payment still require manual review?

Yes. A payment can be delayed or require investigation if the payer, amount, currency, reference or purpose does not match the approved profile.

Do virtual IBANs change the legal owner of funds?

No. The legal ownership and funds treatment follow the underlying account arrangement, not the internal label assigned to the identifier.

What is a virtual IBAN?

A virtual IBAN is an account identifier linked to an underlying account arrangement and used to identify or reconcile incoming payments. It can be assigned to a customer, acquirer, store, website, legal entity, project, country or payment flow. A virtual IBAN does not necessarily constitute a separate bank account, and availability depends on the approved Quppy Business configuration.

Can my business receive merchant settlement payouts through Quppy?

Eligible online and offline merchants may be able to use approved Quppy Business account details to receive settlement payouts from acquiring banks, payment service providers, payment facilitators, marketplaces or card-acquiring platforms. The flow requires Quppy/provider approval and acceptance of the account details by the merchant’s settlement provider. Account approval does not guarantee that every acquirer will accept the proposed details.

What is the difference between merchant settlement and card acquiring?

Card acquiring is the service that enables a merchant to accept and process customer card payments. Merchant settlement is the later payout of processed funds from the acquirer, PSP or platform to the merchant. Quppy Business may provide approved account details for receiving settlement payouts, but the business payment account does not itself provide card acquiring.

What is a dedicated GB IBAN?

A dedicated GB IBAN is an account identifier assigned for use by a specific approved business customer under the applicable account arrangement. It may be used for eligible commercial payments or settlement flows, depending on the underlying provider, currencies and payment rails. Not every Quppy Business customer receives a dedicated GB IBAN.
